Pastel Workshop

Privacy Policy

Effective date: October 23, 2026

1. Who we are

Pastel Workshop ("we," "us," or "our") operates pastelworkshop.com, including our informational website, Pastel Workshop Studio ("Studio"), and Folistry. This Privacy Policy explains how we collect, use, disclose, and retain personal information in connection with those services, our educational programs, and related support and communications (collectively, the "Services").

Pastel Workshop's Free, Standard, and VIP educational memberships are sold through Skool. VIP membership includes VIP access to Studio. Master Class is a six-month educational program sold through pastelworkshop.com and includes Master Class access to Studio and Folistry Premium for the duration of the program. Folistry separately offers Free, Standard, and Premium plans; paid Folistry subscriptions are sold through pastelworkshop.com.

Skool and other independently operated services have their own privacy policies for information they collect and use independently. This policy covers our own handling of information, including information we receive from those services.

You can contact us about privacy or your information at:

2. Information we collect

Account and profile information. We collect information you provide when creating an account, enrolling, contacting us, or updating your profile, such as your name, email address, telephone number, and account preferences.

Membership and transaction information. We collect information about your plan, enrollment, purchases, subscription status, payment status, and related billing records. Payments made through pastelworkshop.com are processed by Stripe, which receives information necessary to complete purchases. Payment card information is not stored on our website. Memberships purchased through Skool are handled through that platform's purchase process.

Studio information. We collect artwork images, painting and assignment submissions, goals, assessments, assessment scores, critiques, feedback, progress information, and other information submitted or created through mentorship. We also process participation and scheduling information associated with announcements, assignments, and calendar events.

Folistry information. We collect the artwork images, titles, descriptions, dimensions, media, dates, inventory numbers, locations, prices, exhibition histories, and other artwork records you enter. Information may also include sales, collector, buyer, gallery, or other contact details that you choose to store in supported record fields. You are responsible for having an appropriate basis to provide another person's information.

Communications and recordings. We collect information in support requests, applications, surveys, messages, and other communications. All coaching sessions take place through Zoom outside pastelworkshop.com and are recorded. Recordings may contain participants' names, images, voices, artwork, screen shares, and contributions. Zoom also processes information under its own applicable terms and privacy practices.

Optional AI requests. Folistry Standard and Premium users can choose to request AI-generated artwork title suggestions and descriptions. When you choose that feature, the artwork image you select and the information needed to generate the requested suggestions are processed through our Gemini AI integration. This feature does not require you to submit your full artwork inventory, contact records, or Studio critique history.

Technical and usage information. We and the tools used to operate the Services may collect IP addresses, device and browser details, timestamps, pages and features used, referring pages, cookie identifiers, and diagnostic or security information. Our Lovable hosting platform receives anonymous information for error and performance tracking. Analytics, advertising, and embedded video providers may receive additional information as described below.

Information from providers. We may receive payment or subscription status from Stripe or Skool and operational information from providers supporting the Services. We use this information to administer your account and provide the access you purchased.

Please do not enter payment card details in notes, upload unnecessary sensitive personal information, or provide information about other people that you are not entitled to provide.

3. How we use information

We use information to:

We do not obtain ownership of your artwork by collecting or storing it.

4. Who can see your information

Studio

Your critique submissions, assignment submissions, and assessment scores are visible only to you, your mentor, and platform administrators. Other Studio users can see your name and email address within Studio to support community and connection. That member directory information is not publicly accessible.

Folistry

Folistry records are private by default. You control whether supported portfolio pages are:

Private portfolio settings do not prevent authorized administrative or provider access reasonably needed to operate, secure, or support the Services. Search engines and other people may retain copies of material previously made public. An indexing preference cannot guarantee removal of copies that already exist or prevent an authorized recipient from independently saving material.

Coaching recordings and promotional use

We use coaching recordings to provide the educational program and related replays. Recordings are available only to authorized program participants, the mentor, and personnel or providers supporting the program. We give recording notices and obtain any consent required by applicable law. Contact support@pastelworkshop.com before a session if you have a recording concern.

We request separate permission before using your nonpublic artwork, critiques, name, image, voice, or testimonial in publicly distributed promotional materials. Submission for critique or attendance at a coaching session does not, by itself, authorize promotional use.

5. Optional AI processing

The Gemini integration is used only when an eligible Folistry user chooses to generate artwork title suggestions or descriptions. The selected image and request information are provided for that task only; the integration is not given continuing access to your artwork library. You can use Folistry's other available features without invoking AI.

We do not use member content to train AI models or authorize the integration to use it for model training. We use the integration for processing the requested suggestion, rather than maintaining a separate AI training collection.

This processing-purpose restriction is not a representation that every provider immediately deletes all technical or security records. Provider retention can depend on the Gemini service, settings, and intermediary used, including limited abuse-monitoring or security records. Suggestions you save in Folistry become part of your artwork records and follow the retention rules below.

6. Service providers and other disclosures

We disclose information as reasonably necessary to providers supporting the Services, including:

Provider or servicePurpose and information involved
LovableWebsite and application hosting and storage of account/profile information and artwork images; anonymous error and performance tracking.
StripeProcessing purchases and payments made through pastelworkshop.com and providing related transaction status.
SkoolEducational membership purchases, community participation, and related membership administration.
ZoomHosting and recording coaching sessions, including information participants provide during sessions.
Gemini AI integrationProcessing selected artwork images and request information for optional title and description suggestions.
Vimeo, Wistia, or YouTubeDelivering embedded videos, where used. Videos are supplied through these services rather than stored on our website.
Google Analytics and Meta PixelAnalytics, measurement, and advertising-related processing, where enabled and subject to applicable choices and legal requirements.

Providers may use their own subcontractors and infrastructure. Where providers process information on our behalf, we use appropriate contractual restrictions for their role. Where they process information independently, their own privacy notices also apply.

We may also disclose information at your direction, to professional advisers, to respond to lawful requests, to protect rights and safety, to investigate misuse, or in connection with a business sale, merger, or reorganization subject to appropriate safeguards and applicable law.

We do not sell customer lists or artwork records for money. However, disclosures through advertising tools such as Meta Pixel can qualify as a “sale,” “sharing,” or targeted advertising under some privacy laws even when no money changes hands. We do not describe those activities as categorically outside those laws. Where applicable, you may exercise related choices as explained below.

7. Cookies, analytics, advertising, and video embeds

We use necessary cookies and similar technologies for account access, security, and operation. Depending on which tools are enabled, Google Analytics, Meta Pixel, and embedded video services may also collect information about visits, devices, interactions, and viewing activity. These tools can involve information being sent directly from your browser to the provider.

Where required, optional analytics or advertising technologies are used only after the appropriate consent, and we provide applicable opt-out choices. You may also manage cookies through your browser; blocking necessary cookies can prevent account features from working.

You can change your cookie settings at any time by clicking the “Cookie settings” link in the footer of the website.

8. Retention, cancellation, and deletion

We retain information during active use as reasonably necessary to provide the Services. The following periods describe retention after active access ends; they are not limits on the length of time an active subscriber may keep records.

Service or informationRetention and access after active access ends
Studio through VIP or Master ClassRead-only access for one year after active Studio entitlement ends. You can view historical information but cannot add, edit, or remove records through the application. At the end of that year, Studio access is removed and the associated Studio records are deleted, subject to the limited exceptions below.
Separately subscribed Folistry planCancellation causes immediate loss of access. Folistry records are retained for up to six months after access ends to allow reactivation, then deleted if access has not been restored, subject to the limited exceptions below. This retention does not itself provide read-only access.
Folistry included with Master ClassAt the end of the six-month Master Class term, included Folistry Premium access becomes read-only. You may choose a separately available Folistry plan. If active access is not restored, read-only access ends and associated Folistry records are deleted after six months, subject to the limited exceptions below.

Product deletion does not necessarily delete a shared account needed for another active service. Applicable rights to request earlier deletion remain available even when an interface is read-only.

We may retain limited transaction, tax, dispute, fraud-prevention, and legal-compliance records where required or permitted by law. Those records are not an extension of ordinary access to deleted artwork or mentorship records. Records held independently by Stripe, Skool, Zoom, or other providers are also subject to their applicable retention practices.

You can request deletion or information about available copies of your records at support@pastelworkshop.com. We verify requests as appropriate and explain any lawful exception. We do not promise a self-service export format that the product does not support. Deleting information does not retrieve copies independently saved by another person or automatically delete information you separately provided to an external platform.

9. Security

We use reasonable administrative, technical, and organizational safeguards appropriate to the information we process. No online service or storage system can guarantee complete security. Keep your credentials secure and notify support@pastelworkshop.com if you suspect unauthorized access. We provide incident notices when required by applicable law.

10. Your choices and privacy rights

You may update available account fields and sharing preferences through your account. You can unsubscribe from marketing emails using the unsubscribe link or by contacting us. Necessary account, billing, security, and service communications may continue.

Depending on where you live and which laws apply, you may have rights to access, correct, delete, or obtain a portable copy of personal information; withdraw consent; object to or restrict processing; or opt out of sale, sharing, or targeted advertising. Some laws also provide authorized-agent and appeal rights. Rights are subject to applicable conditions and exceptions.

Contact support@pastelworkshop.com to make a request or appeal a decision. We may request information reasonably necessary to verify identity or an agent's authority. We respond within applicable legal time limits and do not unlawfully discriminate against people for exercising privacy rights. You may also complain to an appropriate privacy regulator where that right applies.

If a Folistry user stores your information in that user's own business records, we may process it on the user's behalf. Contact the artist or business responsible for the record, or contact us so we can assist or route your request as appropriate to our role and legal obligations.

11. International users

We are based in Arkansas, United States, and accept international customers. Your information may be processed in the United States and other locations used by our providers, where privacy laws may differ from those where you live.

Where applicable law requires a lawful basis for processing, we rely on performance of our agreement for account, purchase, and requested service activities; legal obligations for required compliance records; legitimate interests in operating, securing, supporting, and improving the Services where permitted and balanced against your rights; and consent for activities requiring consent, including certain marketing and tracking. You may withdraw consent without affecting processing already lawfully performed. Information necessary to operate an account or deliver a requested service must be supplied for us to provide it.

12. Adults only

Accounts and educational or software services are intended for adults age 18 or older. We do not knowingly collect personal information from children under 13. If you believe a child has provided information in violation of this policy, contact support@pastelworkshop.com so we can investigate and take appropriate action.

13. Changes and contact

We may update this policy to reflect changes in our practices or the Services. We will post the revised policy and effective date, provide additional notices, and obtain consent when required. Changes do not authorize new uses of previously collected information where separate consent is legally required.
